Topic : 2 - Functions – Planning, Organizing, Staffing, Coordinating and Controlling 

Basic concepts of Management:
 
   ❋ Goal:  A desired future state that the organization attempts to realize. Goals must be SMART – Specific, Measurable, Attainable, Realistic and Timely.
Ø  Proximal goals – Short term goals or sub goals
Ø  Distal goals – Long term or primary goals
   ❋ Purpose statement: A statement of a company’s purpose or reason for existing

  ✲ Strategic Objectives: A more specific goal that unifies company-wide efforts, stretches and challenges the organization, and possesses a finish line and a time frame

  ❋ Plan: A blueprint for goal achievement that specifies the necessary resource allocations, schedules, tasks, and other actions

Ø  Strategic plans:  Overall company plans that clarify how the company will serve customers and position itself against competitors over the next two to five years

Ø  Tactical plans: Plans created and implemented by middle managers that direct behavior, efforts, and attention over the next six month to two years

Ø  Operational plans: Day-to-day plans, developed and implemented by lower level managers, for producing or delivering the organization’s products and services over a thirty-day to six-month period

Ø  Single-use plans: Plans that cover unique, one time only events

Ø  Standing  plans: Plans used repeatedly to handle frequently recurring events

   ❋Policies: Standing plans that indicate the general course of action that should be taken in response to a particular event or situation
  
   ❋Procedures: Standing plans that indicate the specific steps that should be taken in response to a particular event

  Rules and Regulations: Standing plans that describe how a particular action should be performed or what must happen or not happen in response to a particular event


Functions:


Planning
Establishing Goals and Standards; Developing Rules and Procedures; Developing Plans and Forecasts.
Organizing
Giving each subordinate a specific task; Establishing departments; Delegating authority to subordinates; Establishing channels of authority and communication; Coordinating the work of subordinates.
Staffing
Determining what type of people should be hired; Recruiting prospective employees; Selecting employees; Setting performance standards; Compensating employees; Evaluating performance; Counseling employees ; Training and Development.
Leading/Directing
Getting others to get the job done; Maintaining morale; Motivating Subordinates.
Controlling
Setting standards such as sales quota, quality standard or production levels; Checking to see how actual performance compares with these standards; Taking corrective action as needed
Innovating
Creating new ideas which may improve product, process or practice.

Coordinating
Orderly arrangement of individual and group efforts to provide unity of action in the pursuit of a common goal.
